Requesting food donations is common practice for organizations that provide food to the needy.
Requesting food donations is common practice for most food pantries and for many charities and organizations that provide food to the needy as part of their mission. Asking for donations can be intimidating, but it gets easier with time and practice. Establishing a professional aura will increase your chances of receiving donations. Many businesses treat donating food and other goods as a business transaction for tax purposes, so be prepared to give them the requisite information in a timely manner.
Instructions
1. Compile a list of possible donors. Local restaurants and grocery stores are often more willing to donate because of their large supply of food and nonperishable goods. Other possibilities include churches, organizations and community residents.
2. Create a script, to be used when calling the possible donors. Include your name, the organization you represent, what you are requesting and why. Also include any other pertinent information, such as who the donation will benefit and what the donor will gain from donating. Be sure to include your contact information and the easiest way to contact you.
3. Rehearse. Become comfortable and confident with your script. Make changes if it sounds unnatural.
4. Call the potential donors. Be prepared to answer any questions about your organization or cause. It is important to be outgoing and confident in your request. This increases your chances of getting donations. Thank the respondent for her time and interest at the end of the conversation.
5. Keep a tracking sheet. It is important to track those you have called and their response. A tracking sheet ensures you do not call the same person twice.
6. Follow up. If they would like a request letter or more information, be sure to full-fill their request as soon as possible. Some corporate businesses need a request letter so to turn into their manager for tax purposes. A donation request letter contains similar information included in the script; this is the place to create detailed explanations of your charity and reason for the drive. Remember to sign the letter.
